Function

As an Office Assistant, you will be the primary point of contact for travel related questions and issues from employees and Partners within Finalyse Group, providing day-to-day information and support as well as reporting regularly to the accountable Partner.

Tasks and Responsibilities:

• Making hotel reservations, booking flight, train and coach tickets, managing short term apartment rentals,
• Organizing small events, conferences, local events, incentives,
• Documenting costs and reservations,
• Follow up of invoices, monthly credit card spending in cooperation with the Accounting Department,
• Preparing annual report for the Management,
• Keeping in touch with hotels for corporate reservations, prepayments, invoicing follow-up,
• Travel Policy and travel budget management.

Profile

  • You are enthusiastic and motivated to find the ideal travel options for our colleagues, taking into consideration their comfort as well as our Company’s travel budget,
  • You are proactive and have good problem solving skills,
  • You are customer- oriented and you are eager to take initiatives in various domains, managing priorities and timing constraints,
  • You are disciplined, methodical and autonomous,
  • You are also a good team player, who is both flexible and adaptable under pressure and you are able to build and maintain good working relationships,
  • You have an excellent knowledge of MS Office applications (Excel, Word, PowerPoint, Outlook).

Language

  • You are fluent in English, knowledge of French is a plus.
